2. What to do when you arrive?!


Option 1: You arrive the day BEFORE your first workshop –> You will find one of our team members at the info desk of the hotel Colosseo starting at 3:30pm. Please check in with us there.
Option 2: Your arrive the day OF your first workshop –> It depends where your first workshop will take place: If your first workshop takes place in the hotel area, please find us at the info desk in the hotel Colosseo. If your first workshop takes place at the Confertainment Center, please find us at the infodesk there.
Option 3: You arrive far of schedule and can’t find us at the info desk in the hotel Colosseo. –> Please call the mobile phone number mentioned above.

All necessary information:

To instructors who are living in Europe (territorial) we are not going to pay your salary in cash anymore. Please send your bill via e-mail. We are going to transfer your salary after receiving your bill but earliest one week after the event.

The bill should contain the following information:

  • addressed to: Gutmann Events GmbH & Co.KG, Leo-Wohleb-Straße 1, 79098 Freiburg, Germany
  • sales tax identification number
  • the note of the reverse charge mechanism (our sales tax number: DE227753741)
  • invoice number
  • invoice date
  • date of accomplishment

If there is any really important reason why you need to receive your salary in cash, please contact us (trainer@euro-dance-festival.com). You will get the information when and where to get your salary during the festival.

The conditions of the hotel:

  • You can check-into your room anytime BUT they will be ready for you to move in from 3:30 pm.
  • You have to check-out of your room until 11:00 am.
  • If you want to check-out later than 11:00 am that would cost 60€ which you have to pay by yourself.
  • If you need a childrens bed (for children up to 3 years of age), that will cost 6€/night which you have to pay by yourself.
  • If you want to bring a dog, that is not a problem BUT costs 13€/night which you have to pay by yourself. AND please note that dogs are NOT ALLOWED to the dance rooms!

The team will have your wristband ready for you, when you arrive at the venue.

Please wear the wristband all the time! Not all our employees are dancers AND we have over 300 artists with us, so whoever manages the entrance to the venue may not know you.

If you want to remove your wristband for your show, please let us know and you will get a new one after the show.

If you want to bring someone with you to help you in your classes, that has to be told to the organizer (Julia) while negotiating the conditions of your assignment.

If you do not bring someone to help you in your classes the organzier will provide an assistant.

Unfortunately we had a lot of bad feedback about instructors not bringing an assistant and therefore showing moves with a participant of the class or alone. So please use your assistant (your own or the one provided to you) to show the moves.

If you get an assistant for your workshops, we would like to ask you to consider the following points so that you and the participants have a great experience in the workshops:

  1. The assistant will try to contact you in advance/introduce themselves to you in order to briefly discuss the content of the workshops. This will give you a good start.
  2. To ensure that your lessons go well, we usually only assign very experienced assistants. However, it may be that you have different dance backgrounds, so please plan for that.
  3. If you meet in advance to discuss the workshop content, always do so on the festival grounds when other team members are present, not in hotel rooms etc. We as organizers cannot tolerate this.
  4. Please treat the assistant with respect. Reprimands in front of the participants do not make a good impression.
  5. When dancing with your assistant, do not touch her/his intimate areas or put her/his hands into your intimate areas.
  6. Based on past experience, we unfortunately have to point out the following self-evident fact: No means no. No matter whether it’s about dancing, touching or other private contacts, meetings, etc.

As you can read between the lines of this briefing, we have regularly found ourselves forced to separately discuss things that should actually be self-evident. It is important to us that everyone can go home after the festivals excited about what they experienced.

The Festival-direction

If you want to bring someone with you to look after your children while you teach, that has to be told to the organizer (Julia) while negotiating the conditions of your assignment.

Warm meals as well as coffee and soft drinks will be served at „Traumpalast“ in the “EP Dome”-area/ Confertainment-Center. Please remember the meal-times and bring your food coupons!

Lunch 01:00-03:00 pm | Dinner 06:00-08:30 pm

If you prefer to eat or drink something else than served in the crew catering, please mind that we will not cover those costs.

If you arrive to late to have dinner in the crew catering, than the organizer will cover the cost of you ordering food outside the crew catering. BUT please mind that the organzier will only cover the cost of an ordinary (not more than 25€ per person) dinner!

To get from the hotel to the Confertainment-/Dome-Area, the EP-Express is the best option. This train leaves between the hotels „Santa Isabel“ and „Colosseo“ and will take about 10 minutes to get to the Confertainment-/Dome-Area.

Please checkt the operating times for 2023 (Express leaving approximately every 10 minutes):

  • Monday | 05:00-08:00 pm
  • Tuesday | 09:00 am – 09:00 pm
  • Wednesday | 09:00 am – 00:45 am
  • Thursday | 09:00 am – 00:45 am
  • Friday | 09:00 am – 00:45 am
  • Saturday | 09:00 am – 00:45 am
  • Sunday | 09:00 am – 09:00 pm
  • On your dancefloors there will be a table prepared with a live-mixing desk to connect to your brought in supplies. The connection given will be two mono jack bushes 6.3mm and a stereo jack plug 3.5mm (for notebooks). If you need any other audio connection (like cinch/rca cables) please contact me as soon as possible.
  • Please prepare yourself and your dancefloor before 10pm. Your DJ-set should start at 10:00 pm with music in adequate party volume.
  • Please have your music playing till about 00:30 am. The last tram to the hotel ressort will depart the dome area 0:45 am, after that the guests won’t have any possibilities to get back to the hotels.

 

We understand if you want to take your four-legged friends with you to Rust. BUT please note: To prevent the risk of accidents, to protect allergy sufferers, for hygienic reasons and in the interest of animal welfare, dogs (and all other pets) are NOT allowed in the following places at the festival:

  • in all rooms during the workshops
  • within an area of five meters around food and beverage counters
  • generally during the evening events (in all areas)

We would like to point out that there can also be high volumes and crowds in passageways, on the marketplace etc.

Therefore, the space available for your pet is considerably limited – please consider carefully whether you can and want to put up with these restrictions for your pet. Please also note that we cannot supervise your pet for liability and insurance reasons, not even for a short time.

Please check where your rooms are located and remember to save some time for transfer with the “EP-Express” monorail (10-12 minutes), if you have to change between Dome Area and Hotel Area.

There are enough parking spots at the hotel.

Parking situation at the Dome/Confertainment-Area:

The parking area marked in light blue/turquoise will be closed of by a gate. You will only be allowed to park there if

  • you are displaying at the trade fair
  • you are a DJ
  • you are dancing your show on Wednesday, Friday, or Saturday evening

EVERYONE ELSE please park on the other side of the road, marked in red:

You may of course give private lessons during the event. But there are some rules:

We don’t reserve any rooms for private lessons! It might happen that more than one dance instructor shows up in a room to give a private lesson.

  • private lessons in the rooms of the Confertainment-/Dome-Area can be held BEFORE the workshops from 08:30 to 09:30 am, IF the person who booked the private lesson, has a ticket for the event.
  • private lessons in the rooms of the Confertainment-/Dome-Area can be held during lunch break from 01:10 to 02:40 pm IF the person who booked the private lesson, has a ticket for the event. ATTENTION: During lunch break every festival participant has the right to be in any room and they are not to get sacked for a private lesson.
  • private lessons in the rooms of the Hotel-Area can be held during lunch break from 01:10 to 02:40 pm IF the person who booked the private lesson, has a ticket for the event. ATTENTION: During lunch break every festival participant has the right to be in any room and they are not to get sacked for a private lesson.
  • private lessons in the rooms La Scala, Refectorium & Convento can be held after the workshops starting at 06:20 pm.

Is is not allowed to put flyers and brochures, roll-ups or posters anywhere, unless is has been specifically allowed by the festival-direction. You can spread flyers or brochures during your workshops/lectures but you are not allowed to leave them after your workshops/lectures!

If you want to bring a friend/boyfriend/girlfriend to share your room, that has to be told to the organizer (Julia) while negotiating the conditions of your assignment. You may be lucky and get a room with more beds than needed BUT your are not allowed to let somebody sleep there, if you have not told the organizier while negotiating the conditions of your assignment!

  • Please bring your music as mp3-files only (quality 192kbit or higher) on a USB stick AND send us an e-mail with the music-file adapted before the festival starts. Please do not use any other format than mp3, no CDs, notebooks MP3 players, iPods etc.!
  • Please provide some information about yourself, your dancing and so on, which can be used by our show hosts for the presentation and announcement of you and your show. (E.g.: how long have you been performing? Are there interesting / funny / unusual details?)
  • The day of your show we will get in touch with you in order to arrange all details (music, light, backstage, timetable etc.)
  • You will be given rehearsal time by our stage director crew (between 06:30 and 08:00pm) . If you do not need to rehearse, please tell us asap, so we can use the remaining time slots more efficiently.
  • Showtime will be between 09:00 and 10:00 pm.

ATTENTION: We will not be filming the shows. If you would like to have a video of your show, please ask someone to take a video of you on your or their phone.

You will receive the pictures of our photographers via e-mail. Approxemately 2-3 weeks after the event.

If you have more than one big suitcase, please let Julia know!

 

The team will be waiting for you at the info desks and will have all your documents ready for you.

Please stick to the given workshop level as best as possible:

  • beginners: the participants have never danced this dance before.
  • level 1: the participants only know the basics of the dance.
  • level 2: the participants have been dancing for a bit and know some easy combinations/techniques.
  • level 3: the participants have been dancing the dance for quite some time and know also difficult combinations/techniques (for ballroom-dances: D- and C-class competition dancers).
  • level 4: the dancers are really good dancers or even dance instructors themselves (for ballroom-dances: B-, A- and S-class competition dancers).

If any friends/students/family members of you want to join the festival, you will be able to receive early-bird-tickets for them until the 31st of January, IF you send an e-mail to trainer@euro-dance-festival.com containing:

  • full name of the participant
  • postal address of the paricipant
  • e-mail-address of the participant
  • ticket wish of the participant
